Production/ Store Perspective : Raw Material Allocation to Trolleys

Production/ Store Perspective : Raw Material Allocation to Trolleys
Raw Material Allocation is an important step for processing a work order on the shop floor. We introduced Trolley to ease this process. Here Trolley is our movable warehouse, which will help to transport the materials from one Workstation to another. Raw materials will be allotted to each trolley as per the work order and material request.

To better understand this procedure we can take a simple example. We all know about Pangat System. As people start sitting in a queue and wait for the food to be served in their plates as per their requirements. Similarly in RMAT procedure trolleys will be available on the shop floor and material will be allocated sequentially in each trolley as per the WO requirement. Here we can assume people as trolleys and food items are as Raw materials. The person who will serve food can be assumed as store supervisor who will keep an eye that each trolley is getting materials as per the requirements.

This step include every minute detailing of store starting from requirement of raw materials to provide appropriate raw material to each trolley as per their Work Order and material request. Now let's start the step-by-step procedure of RMAT, for better understanding refer the screenshots as well:

In your ERPNext Dash-board, type "Raw Material" in Search Bar and you will see multiple options here:

Raw Material Allocation
  • Select the option "New Raw Material Allocation to trolleys" to create a new document.
  • Or go to the ERPNext Dash Board(Home)--->Stock(side bar)--->Custom Reports--->New Raw Material allocation and to view all RMAT docs; select the option "Raw Material Allocation to Trolleys List". * After selecting "New Raw Material Allocation to trolleys" ; a new doctype will open like this : * Click on the Save button(top right corner on the screen) to save the document, after saving the document a series like syntax will be created : "RMAT-2024-04-24-00001", It is the name of new RMAT doc. It can be viewed later in list of RMAT ("Raw Material Allocation to Trolleys List") * To start the procedure just go through this Flow Diagram : * Step 1 & 2 : Start from the first step as per the above flow diagram. First click on the button "Get MREQs from" ; You will see 3 options here :
Multiple production plan : As understandable with its name you can select material request from multiple production plan as per your need ,If you choose this option, a window will be open like this: Do not forget to tick the check box **"Select Production Plan Material Request"** which you can see in the upper left corner on the screen. Now tick the checkbox individually from the list or just tick the topmost CheckBox(highlighted with red box) to select all the MREQs at once. Now click on the button "Get Items". After clicking a pop-up message box will appear with information like how many MREQs are selected and added :

Note : It may be possible all MREQs will not be added in the table due to their validation failure.

Now MREQ table is created and It will look exactly like above image. The document is not saved right now so do not refresh the doc.

Single Production Plan : If you want to add MREQs only from one production plan, this option will help you. By clicking it will ask the name of Production Plan like this :

Please enter the correct name of Production Plan. Like : MFG-PP-2024-00028

On submitting it will validate Production plan name and find appropriate MREQs in that Production Plan.
Here you can see 44 material requests has been added from your selected production plan. Now the created MREQ table will look like above. Do not refresh the document until it is saved.

Material Request : If MREQs are not included in production plan, but a WO needs to be manufactured urgently, then you should select this option, this will help you to plan RMAT Production Plan MREQ along with individual MREQ.

When you click the Material Request , a dialogue box will open like this :

Here you can see multiple fields like Name, Production Planning Date and Purpose. You can directly type the name or select particular date to filter the data. Now select the MREQ which you want to add in MREQ table. After selecting the MREQs, click on the " Get Items" button, so the MREQs will be added into the table along with MREQs of Production plan.

The above MREQs are added in the existing table
The below list is added to the existing.
Still doc is not saved Now you can save or can go to the next step.

Step 3 : Now click on the button "MREQ-WO table",it will open Generate Button.

It will fetch relevant Work orders from the MREQs, which you have selected earlier.

This table is displaying the name as "Raw Material Allocation". Here colored dots are visible ahead of Work Order. On refreshing page same colored dots can be seen in MREQ table also :

Note: Do not forget to refresh the doctype to see the changes. Sometimes due to data-network or server problem it might be possible some data will not be visible.

Sometimes due to data-network problem these colored dots and other pages of table can be missing, that's why it is recommended to refresh the doctype to see the complete doc.

Importance of colored dot: There are 4 possible colors which will be shown in MREQ table :

Blue : It means valid Work order is not linked to the MREQs. (Stopped, cancelled or draft).

Red : It means Work Orders are valid but some items are missing in store. These item list can be seen on below the table when you move the mouse over the work order.

Green : It means all Works Orders arevalid and all items are available in the store.

Orange : Valid Work Order but items are missing due to consumption from above rows of MREQ. Conflicts can be seen when mouse will move over Work-Order.

In MREQ-WO table (Display name : Raw Material Allocation) 3 possible colors : Red, Green and Orange.

Step4 : Step-4 to 6 are the part of auto allocation. For this you need to click on "Auto Allocate" button, after that 3 options will be opened. See the screenshot :

    1. **Kitting** : it will help to allocate n number of trolleys(kits) input given by you.
    2. **Allocate\_trolley** : It will help to allocate trolleys as per the availability and number of kits you have entered.
    3. **Calculate Required Items** : It will calculate the exact quantity of raw material and item code which is needed for each trolley.

So let's begin with **Kitting** : When you click on kitting, it will ask for the input:

Suppose you have entered 24 number of kits, it will allocate 24 kits to **MREQ-WO** table after submitting. When explored /rendered row from table it will be visible :

Note : Please do not click on kitting again as it will create confusion later.

Step 5: Trolley Allocation: When clicked on "Allocate\_Trolley", It will start kits allocation into trolleys starting from Kit-1. In this stage rows in MREQ-WO table can not be modified. If number of available trolleys are equal or larger then number of kits,a pop-up will appear like this: When clicked on Trolley allocation it will allocate trolleys to kits starting from kit-1. Now rows in MREQ-WO Table can not be modified or moved.

After confirming **Yes**, allocation process will start. If number of trolleys are less then number of kits then a pop-up with message will show like this: On confirming it will start allocating. if number of trolleys are lesser than kits then it will show like below:

In first case all rows of MREQ-WO table will get trolleys but in 2nd case rows with Kit-18,19 & 20 will get transferred into new RMAT doc. and the kits which does not having any numbers will also be transferred into new RMAT doc. **In first case all rows of MREQ-WO table will get trolley number but in second case rows with kit-18,kit-19 & kit-20 will get transferred to new RMAT doc. Also keep not that rows which does not have any kit-X number will be transferred to new RMAT also. After clicking on Yes(in 1st case)/ Continue (in 2nd case) it will show table with allocated trolleys**

After saving the above doc, its the time to calculate required items for each trolley. So click on **"Calculate Required Items"** it will add another table named **required items** into doc like below :

Here you can see colored dots ahead of trolley numbers, indicates the availability of particular item mentioned on that row. (Red means not available and Green means available)

Note : for understanding purpose Here doc can be submitted though trolley with missing items .** - If someone tries to regenerate MREQ-WO table now the message pop-up will appear like below:

So once Trolley selection is done we can not add more rows to MREQ-WO
